The short answer
What you need to know
Compare supplier quotations line by line using the same product specification and unit of measure. Confirm carton contents, total delivered cost, availability, quote validity and substitution rules before choosing.

Before you buy
- A low total is meaningful only for equivalent supplies.
- Separate product price from delivery charges.
- Resolve missing specifications before approval.
Send the same requirements to each supplier
Prepare one requirements list and use it for all quote requests. Include the product or approved equivalent, usable quantity per unit, units per carton and required quantity. Where you use a dispenser, add its compatibility requirements.
Ask suppliers to identify any deviation from the request. An alternative may be acceptable, but the person comparing quotations needs to know what changed. Keep requested products and proposed alternatives on separate lines.
Build a simple comparison sheet
Use consistent counting units. If one supplier prices boxes and another prices cartons, convert using the confirmed packing. Do not compare a pack price with a carton price or assume that both cartons contain the same number of units.
| Comparison field | Why it matters |
|---|---|
| Exact variant and specification | Establishes an equivalent product |
| Unit and carton count | Makes price conversion possible |
| Delivered total | Includes quoted transport and charges |
| Availability and lead time | Checks whether the order meets the need |
| Validity and payment terms | Defines what you are accepting |
| Substitution policy | Prevents an unapproved change |
Ask operational questions before accepting
Confirm the delivery address, receiving hours and any access restrictions. For multiple sites, ask whether the quote covers one consolidated drop or separate deliveries. Specify who will receive and count the stock.
If a quote excludes a charge or leaves a term blank, get clarification in writing. A lower initial price can be a poor fit if the stock cannot arrive when needed. Keep supplier communications attached to the selected quotation.
Make the approval and receiving checks agree
Summarize the selected products, total cost and agreed terms for the approver. Once approved, use that same document to check the delivery. This avoids a situation where the purchasing team accepts one specification but receiving staff have only a generic item name.
Record discrepancies promptly and keep evidence such as carton labels or quantity counts. After the order, note whether timing and packing matched the agreement so the next purchase is informed by actual experience.
