Write a clear branding brief
Start with the location where the boxes will be used: reception, meeting rooms, guest rooms or an event. Identify the available space and any holder the box must fit. Share brand colours, required text and a logo file suitable for the production process.
Ask the supplier which file formats and artwork dimensions they require. Do not assume a small social media logo will reproduce well at the intended print size. If an event date is fixed, state it at the beginning of the enquiry.
Specify what goes inside the box
A custom print does not define tissue quality or quantity. Confirm usable sheets, ply, sheet dimensions and the box construction separately. Ask whether the quotation includes filled boxes or only packaging.
For a first order, request a clear specification and discuss a sample or proof option. Check how the box opens and fits the intended location. Keep the approved specification with the artwork so future reprints do not silently change the contents.
Review the proof before production
Check spelling, phone numbers, web address, logo orientation and every printed panel. Assign one person to consolidate feedback so conflicting edits do not reach production. Ask the supplier what the proof does and does not represent, including colour matching and materials.
Approve the final version in writing and retain the file or proof identifier. If the design changes afterwards, confirm the effect on cost and timing before assuming the original quotation still applies.
Confirm the commercial details
Minimum quantity, setup charges and lead time depend on the actual job. Ask for a current written quotation instead of relying on a generic number. Include delivery city, packing and the latest acceptable receipt date.
For a repeat event, separate the artwork decision from the stock forecast. An undated design may be usable across several occasions, but quantity should still reflect expected use and storage capacity.
