The short answer
What you need to know
Plan school hygiene supplies by building and use area, then adjust quantities for teaching days, attendance and events. Use actual stock issues to set reorder points, and nominate a person to check each location.

Before you buy
- Separate normal teaching weeks from events and closures.
- Use product codes for different dispensers.
- Count stock before ordering for a new term.
Build a location-based stock list
A campus can have classrooms, staff rooms, laboratories, dining areas and several washroom blocks. Start by listing the everyday paper, hand wash and waste-bag requirements for each. Keep specialized laboratory or medical requirements with the responsible department rather than folding them into a general list.
Record dispenser models where fitted. Different buildings may have been equipped at different times and may not use the same refills. A photograph and approved refill code can prevent ordering one product for incompatible units.
Plan around the academic calendar
A purchasing month with examinations or holidays may have very different usage from a normal teaching month. Note teaching days, expected attendance and events separately. If several departments share stock, ask each to flag exceptional demand before the order deadline.
Do not infer a universal number of tissues or soap bottles from student count alone. Begin with a modest, documented estimate when historical data is missing, then replace that estimate with observed usage.
Use a stock register staff can maintain
For each item, record opening stock, receipts, issues and closing stock. Use a consistent unit such as packs or rolls; mixing cartons and pieces makes the balance unreliable. Explain the carton conversion once and keep it with the register.
For example, if 20 packs are available and a building normally uses five packs per teaching week, the base stock covers four such weeks. Delivery lead time and a buffer still need to be considered before setting the reorder date.
| Register field | Example entry |
|---|---|
| Location | Building A washrooms |
| Item | Approved folded towel code |
| Counting unit | Packs |
| Expected usage | Based on recent teaching weeks |
| Responsible person | Named stock coordinator |
Prepare the next-term order
Count remaining usable stock before the term starts and check that dispensers are still in service. Confirm receiving hours, campus access and storage space with the supplier. List alternatives only if the facilities team has approved them.
Keep cleaning products in accordance with their labels and the school's storage procedures. This guide covers procurement planning; site policies determine access, handling and use.
A few more answers
Common buying questions
Should a school order a full term of supplies at once?
Compare storage capacity, expected use, budget and supplier lead time. A phased delivery plan may suit some sites better.
What is the most useful starting document?
A location-based register showing each item, its counting unit, usable stock, expected usage and the person responsible for checking it.
