The short answer
What you need to know
Buy cleaning supplies against the surfaces and tasks your facility maintains. Specify approved products, pack sizes and tools, request relevant label documentation, and keep product suitability separate from price comparison.

Before you buy
- Let the site’s requirements define the product.
- Compare equivalent pack sizes and formulations.
- Confirm substitutions before dispatch.
Turn the cleaning plan into purchasing lines
Ask the facilities team which products and tools they already approve for floors, washrooms, windows and shared areas. Record each separately with its use location. A broad instruction such as buy cleaning chemical leaves too much room for a mistaken substitution.
For a new surface or unfamiliar product, consult the surface and product instructions before choosing. This guide organizes a purchase; it does not prescribe chemical use, dilution or suitability for a specialist site.
Request the product information you need
Keep the exact product name, formulation or variant, container volume and intended use on the quotation. Ask for a label image and safety data sheet when required by your facility's procedures. Staff should have access to the applicable instructions.
Do not treat fragrance, colour or a low price as evidence that a product is suitable for a particular task. If the requested product is unavailable, obtain approval for the proposed replacement before it is sent.
Use the correct cost basis
Compare price per litre only when products are otherwise comparable. A ready-to-use product and a concentrate cannot be compared simply by container volume; any use calculation must follow the specific manufacturer's instructions. Do not invent a dilution ratio to make a quote appear cheaper.
Keep tools on separate lines. For a mop or wiper, record dimensions and replacement-part requirements. Include handles or compatible refills explicitly if the advertised item does not make the contents clear.
Check supplies on arrival
Compare delivered labels and quantities with the accepted quotation. Look for damaged packaging and record concerns with the supplier before the products enter routine site stock. Store and handle supplies according to their labels and site procedures.
- Approved product or tool specification
- Surface and task requirements
- Container size or tool dimensions
- Units per carton or set
- Required documentation
- Substitution approval and delivery window

Is the cheapest large container the best value?
Only a comparable, suitable product can be assessed on price. Confirm formulation, intended use and any manufacturer-directed use calculation first.
