The short answer
What you need to know
To match a tissue refill, identify the dispenser model, record the current refill code and compare its physical specifications. Check a sample in the actual unit before approving an alternative for a large order.

Before you buy
- A photo and model number prevent ambiguity.
- A pack fitting inside is not a complete test.
- Keep approved refill codes on the repeat order list.
Identify every dispenser type at your site
Make a simple register by location: ground-floor washroom, first-floor pantry, reception and so on. Photograph the model label and the currently approved refill. Note whether it takes folded towels, a conventional roll, a centre-pull refill or another format.
If several buildings use different systems, give each an internal code. One purchasing team can then order multiple refills without treating them as interchangeable. A short register is especially useful when site staff change.
Measure the details that matter
For rolls, record the width, outside diameter and core requirement. For folded products, record the folded width and depth, pack height and fold format. Include any manufacturer refill code shown on the unit.
An example of a specific system is the H2 designation on Tork's Xpress multifold towel specification. Use the actual manufacturer reference for your equipment; that example does not confirm fit for other dispensers or brands.
Test fit, feeding and replacement
With permission from the facility team, load a proposed refill according to the dispenser instructions. Check that the cover closes, the paper feeds and staff can replace the refill. Test more than the first pull so an awkward pack is spotted early.
Record the result against the exact variant, not just a broad brand name. If the supplier changes the size or packing later, ask whether another fit check is needed. Do not force an oversized roll or remove parts to make it fit.
Use a refill approval record
Keep one approved entry for each dispenser type and attach it to repeat quotation requests. This makes substitution approval a visible decision.
| Field | What to record |
|---|---|
| Location and unit | Building, floor and dispenser model |
| Approved refill | Brand, code and format |
| Measurements | Folded dimensions or roll width/core/diameter |
| Trial result | Date and fit observations |
| Order quantity | Packs or rolls and cartons |

Common buying questions
What if my dispenser has no model label?
Send clear photos and measured dimensions, plus the current refill label if available. Ask for a fit trial before a large purchase.
Can a supplier substitute another refill brand?
Only after the proposed specification and compatibility are agreed. Require the replacement variant to be named on the quotation.
